Staff & Leadership Administrative Support/Payroll Coordinator (Corona UMC)

Job Summary:
Effectively manage the church office clerical and receptionist functions; coordinate information for the church; assist the pastor & church leaders; oversee office equipment and supplies. Assistant the Financial Secretary.

Hours: Monday through Thursday, hours: 9:00-1:30, 18 hours per week
Pay Range: $17-17.50 per hour
Additional hours – as approved by Pastor/SPRC

Accountability: Supervised by Church Pastor

Qualifications:

  • Knowledge of word processing, ability to compose letters and other communications.
  • Ability to use computers including email (Gmail, AOL), internet, Microsoft, Google drive, ADP and other office software.
  • Create a welcoming environment with all church members & visitors.
  • Maintain confidentiality.
  • Ability to agree with and support the Mission Statement of CUMC and UMC.
  • Ability to multi-task

Responsibilities:

  • Assist the pastor, church leaders, CUMC Financial Secretary and other church groups.
  • Effectively and efficiently answer the phone and assist callers.
  • Notify Prayer Chain Coordinator of prayer requests in a timely manner.
  • Coordinate the church calendar with Trustees, Council, SPRC, Pastor, church groups and non-church event coordinators using the facility.
  • Effectively process the church payroll and maintain documents.
  • Assist with the membership, mailings and contribution lists.
  • Compose and distribute church correspondence.
  • Order and procure office supplies (Staples), send Supply Coordinator list of janitorial and kitchen supplies as needed.
  • Operate and maintain office equipment.
  • Work with church leaders, members, constituents as needed and requested.
  • Maintain church directory.
  • Maintain church membership list.
  • And other duties as assigned by pastor.

Daily Tasks:

  • Process mail, answer phones and complete computer communications.
  • Communicate as appropriate to the pastor, church members, church leaders, visitors and callers.
  • Check student parking for paid parking permits.

Weekly Tasks:

  • Publish the bulletin for Sunday Worship Services.
  • Send eblasts as needed for upcoming events.
  • Print receipt from AOL for Zelle contributions.
  • Supervise staff from cleaning company, per Trustees.

Bi-Weekly Tasks:

  • Coordinate the payroll process.
  • Compose the church Messenger, print, mail and e-mail.

Quarterly Tasks:

  • Send updated Directory to church leaders.
  • Send out special mass mailings such as Christmas, Easter Stewardship Campaign, etc.

Annual Tasks:

  • Assist administrative groups with completion and publication of the Church Annual Charge Conference Report, Tables I, II and III and district and conference forms.

Ongoing Tasks:

  • Monitor and coordinate the use of the parking lot with Santiago High School Students.
  • Coordinate church’s participation in the Ministry Safe Program.
  • Help with Trustees for Hidden Eye Security and Church keys.
