About the Role

To obtain, maintain, and organize information and records pertaining to members and constituents of the
church; to greet and direct visitors and phone calls received in the church office; to direct and disburse
correspondence; to assist the Pastor(s) and leaders of the church; to create a balance of organization,
professionalism, warmth, and hospitality throughout the church office. This role will be staffed by two
persons working in a shared capacity to ensure continuity and institutional knowledge transfer.

Responsibilities

Primary Functions
Worship Preparation
• Update from template Worship schematic and for-print bulletin with information from the Pastor(s)
• Print weekly schematic for leaders and bulletins for members in preparation for Sunday use
• Prepare schematic for online worshipers and upload to website
• Generate QR code signage for digital schematic
• Place schematics, bulletins, sign-in booklets, QR code signage in Sanctuary for Sunday use
• Schedule and/or coordinate weekly liturgists, ushers, flowers, refreshments, custodial, etc.
• In consultation with Pastor(s), draft and send Wednesday “Journal” and Saturday “Worship
Journal” emails with essential Worship information, weekly calendar, etc.
Church Database
• Maintain records of membership, births, deaths, baptisms, weddings, member/visitor attendance
• Correspondence related to membership transfers, new members, etc.
• Update and maintain “working” membership directory for staff and leaders
Church Calendar & Facility Scheduling
• Maintain master calendar of events, functions, and room use
• Coordinate facility use requests including fee payment, insurance requirements, staff and other
support, approval of Pastors and/or Board of Trustees
• In consultation with Pastor(s), staff, and others, coordinate facility and personnel for weddings,
memorials, and other special services

Publicity & Social Media
• Coordinate master publicity schedule with Pastor(s)
• Prepare publicity graphics to be used in Worship, online, and other media
• Prepare flyers, brochures, and announcements that promote and facilitate church activities and
programs
• Post to Social Media platforms related to upcoming events, programs, concerts, daily inspiration,
Worship, important communication updates, etc.

Occasional Functions
• Prepare material for work areas and committee representatives as requested (minutes, reports,
brochures, tickets, etc.)
• Assist Finance office when possible (quarterly statements, credit card statements, volunteers, etc.)
• In consultation with Pastor(s), schedule and communicate monthly staff meetings
• Prepare and address member birthday cards each week for Pastor(s)’ signature
• Annual statistical reporting to District/Conference
• Prepare reports and correspondence to the District, Annual Conference, others
• Show facility/buildings for outside users
• Direct and supervise repair persons
• Recruit volunteers for office help when needed

Coordinate custodial schedule including special events, programs, weddings, memorials, etc.

Maintain paper, printer, postage, and other supplies

Coordinate annual Enrichment classes and facility use with LJUMCNS leaders

Distribute church keys and maintain key log

Other duties as assigned

Salary or Pay Range

Non-exempt (Part-Time, hours negotiable), compensation commensurate with experience
