Secretary (Covina UMC)

The Covina United Methodist Church (CUMC) Secretary coordinates effective church administration, worship support, and communications by working closely with the Senior Pastor to anticipate administrative needs, carry out ministry priorities, strengthen congregational communication, and support volunteers and ministry leaders.

Position Summary

The Church Secretary provides proactive, organized, and compassionate administrative support for the ministries of Covina United Methodist Church. Working closely with the Senior Pastor, this person helps translate the church’s mission and ministry priorities into effective administration, worship support, and communication. The successful candidate anticipates needs, works independently, communicates warmly, and remains focused amid interruptions and changing circumstances.

Primary Responsibilities

  • Administration and Operations
  • Maintain regular office hours and provide a welcoming, responsive presence for
  • congregants, visitors, volunteers, and community partners.
  • Manage telephone calls, email, mail, calendars, room-use requests, supplies,
  • correspondence, records, and routine office systems.
  • Track deadlines, anticipate administrative needs, follow through independently, and
  • maintain accurate and confidential records.
  • Coordinate with the pastor, volunteers, and ministry leaders to support church programs and priorities.

 

Worship and Pastoral Support

  • Prepare and proofread weekly worship bulletins, announcements, and special-service materials.
  • Coordinate worship details with the pastor, musicians, liturgists, volunteers, and other participants.
  • Provide administrative support for memorial services, weddings, baptisms, meetings,
  • special events, and denominational reporting.
  • Receive pastoral-care information compassionately and refer it promptly to the pastor while maintaining appropriate confidentiality and boundaries.

Communications and Digital Ministry

  • Develop and maintain a coordinated content calendar for congregational and public communications.
  • Draft and distribute approved content through Constant Contact, the church website, and social-media platforms as ministry priorities and available time allow.
  • Create clear, attractive communication materials using Canva and established church branding.
  • Represent the church and its pastoral leadership with warmth, professionalism, hospitality, and discretion.

  • Works independently, exercises sound judgment, and remains organized amid interruptions and unexpected situations.
  • Understands the church’s mission and pastoral vision and helps translate priorities into timely action.
  • Communicates with the congregation in a professional, caring, respectful, and inclusive manner.
  • Follows detailed instructions, asks appropriate clarifying questions, receives feedback well, and follows through consistently.
  • Handles sensitive pastoral, personnel, membership, and financial information with discretion.

 

Qualifications

Required

  • Strong administrative, organizational, time-management, writing, and proofreading skills.
  • Proficiency with Microsoft Office and Google Workspace.
  • Ability to learn church management systems, databases, and other digital tools.
  • Experience with digital communications, email marketing, social media, or content calendars.
  • Ability to work independently while collaborating closely with the pastor, volunteers, and church leaders.

Preferred

  • Experience in a church, nonprofit, or community-serving organization.
  • Experience with Canva, Constant Contact, church CRMs, YouTube, Instagram, Facebook, or TikTok.
  • Familiarity with the United Methodist Church, its structure, practices, and ministries.

 

Schedule, Supervision, and Employment

The regular schedule is 20 hours per week, ideally Monday through Thursday from 9:00 a.m. to 2:30 p.m., with some flexibility based on the selected candidate’s availability. Occasional special services or meetings may be required with advance notice and corresponding schedule adjustments.

The Senior Pastor provides day-to-day supervision and establishes work priorities. Work beyond 20 hours requires advance approval.

This position is part-time, hourly, nonexempt, and at will, subject to applicable law and church policy.

Salary or Pay Range
$25-$28/hour
