The Church Office Administrator supports the mission and ministry of the church by serving as a primary point of connection for members, visitors, community partners, and those seeking information or assistance. Through professional, compassionate, and responsive communication, the administrator helps ensure that each person’s experience reflects the values and character of the congregation. This position supports the pastor and ministry leaders, coordinates key administrative elements of the church’s worship life, manages congregational communications, and maintains the organization necessary for the church’s ministries to function effectively.
Key Responsibilities
1. Daily Operations & Administration
• Serve as the primary receptionist: greet visitors, answer phone calls, respond to general emails, and filter inquiries to appropriate staff or ministry leaders.
• Maintain the church master calendar, scheduling facilities for services, weddings, funerals, committee meetings, and community groups.
• Manage inventory and order office, kitchen, and sanctuary supplies within budget guidelines.
• Sort and distribute incoming mail and packages.
2. Communication & Publications
• Draft, edit, and print the weekly worship bulletin and monthly church newsletter.
• Update the church website, online calendar, and social media channels with weekly announcements and event details.
• Send out church-wide email announcements and prayer requests using the church’s email management system.
3. Financial & Record Keeping
• Collect, organize, and log incoming mail, rent, and donations according to church financial policies.
• Maintain accurate records in the church database (membership details, attendance, visitor tracking, and contact updates).
• Assist the Treasurer or Finance Committee with basic record keeping, generating donor contribution statements, or invoice filing as needed.
4. Facility & Event Support
• Coordinate facility setup, heating/air conditioning scheduling, and key/fob distribution for special events and outside facility rentals.
• Communicate facilities or maintenance issues to the custodial or building management team.
Key Qualifications & Skills
• Administrative Experience: 2+ years of prior office management or administrative support experience (church or non-profit experience is preferred).
• Technical Proficiency: Experience with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace. Familiarity with Canva, Mailchimp, Zoom, Event-Brite, website management platforms (e.g., WordPress), or church management software (e.g., Planning Center, Proclaim).
• Communication Skills: Excellent written and verbal communication with strong attention to detail (proofreading abilities).
• Interpersonal Skills: Warm, professional demeanor with high emotional intelligence and the ability to handle confidential pastoral care situations with strict discretion.
• Organization: Ability to self-manage hours, prioritize tasks independently, and meet weekly print and communication deadlines.
Working Conditions & Hours
• Schedule: 15–20 hours per week Monday – Thursday, 10 AM – 3 PM
• Physical Demands: Standard office environment requiring sitting, typing, light lifting (up to 25 lbs for paper boxes or supplies), and navigating church facilities.
Salary or Pay Range
$16.90/hour
