The California-Pacific Annual Conference of The United Methodist Church is in search of a full time Administrative Assistant to support the South District Office. The Administrative Assistant provides high-level administrative and operational support to the District Superintendent and assists with the work of district leadership, committees, and conference initiatives. Responsibilities include, but are not limited to, word processing, public relations, calendaring and coordinating meetings, maintaining records and databases, and supporting effective communication across the district. This role serves as a key point of coordination, ensuring efficient office operations, effective communication, and exceptional customer service for clergy, congregations, staff, and other stakeholders. The California-Pacific Annual Conference is seeking candidates who will demonstrate strong organizational skills, attention to detail, sound judgment, high-level of confidentiality and the ability to manage multiple priorities in a professional and timely manner. Essential Functions:
• Answer telephone and emails courteously, providing information, transferring calls and taking messages as appropriate.
• Foster effective communication and collaboration with local churches, clergy, and district committees in the district.
• Maintain and update the district calendar, website, and social media platforms.
• Manage the District Superintendent’s calendar, including scheduling appointments, coordinating meetings, and ensuring alignment with the Administrative Assistant’s calendar.
• Maintain accurate and organized electronic records and databases related to churches, clergy, candidates for ministry, district committees, and district events.
• Prepare statistical and financial reports.
• Coordinate the charge conference process by working with the Superintendent on scheduling meetings, providing resources and information to the churches, and inputting completed salary and benefit information into the appropriate database.
• Assist churches with grant, compensation, and other district-related application processes by providing information, tracking submissions, and maintaining records.
• Assist churches in the annual process of reporting the statistical tables.
• Conduct research and retrieve historical records, reports, correspondence, and other information to support the District Superintendent.
• In collaboration with the District Superintendent, draft, prepare, distribute, and maintain correspondence, mailing lists, and contact databases.
• Track, organize and coordinate meetings, clergy functions and district gatherings.
• Compile, update, and publish the annual district directory.
• Process invoices and payments, prepare deposits, reconcile district bank accounts, and complete expense reports related to the Superintendent’s account.
• Manage incoming and outgoing mail and oversee office supply, equipment, and postage needs.
• Maintain strict confidentiality and exercise discretion in handling sensitive information and communications.
• Other duties as assigned.

Qualifications:
• High school diploma is required. Some college or technical training preferred.
• Previous experience working in a United Methodist Church preferred but not required.
• Minimum of three years of administrative support experience, preferably in a non-profit religious environment.
• Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint), Zoom, internet-based applications, and email platforms.
• Must maintain strong confidentiality in all aspects of employment and interactions with others.
• Experience with office equipment such as copiers, printers, and scanners.
• Ability to work independently with minimal supervision while exercising sound judgment and initiative.
• Excellent time management and organizational skills.
• Excellent verbal and written communication skills, including the use of correct grammar, punctuation and spelling.
• Ability to multi-task.
• Excellent administrative and public relations skills.
• High level of proficiency with MS Office products including Outlook, Word, Excel, PowerPoint.
• Knowledge of and familiarity with the United Methodist structure as well as the organization and policies of the California-Pacific Annual Conference is preferred.

  • Additional Considerations:
    This is a remote position with occasional work-related meetings in Pasadena CA.
  • The position is full-time with a minimum of 30 hours per week.
  • $32.00 – $40.00 per hour
